We use AI across our products. We’re upfront about it because you deserve to know exactly what happens with your data when you use our tools.

The short version

When you upload a file to DIG, Kapu Tī, or any RED SKY 365 product, it gets sent to an AI service to generate your results. Your data is processed, your results are delivered, and then your files are deleted. We don’t keep copies, we don’t sell your data, and we don’t use it to train AI models.

What “AI-powered” actually means

Our products use third-party AI services to do things like analyse spreadsheets, generate reports, and help with language learning. Think of it like hiring a really fast assistant — you hand them the work, they do the job, and they don’t remember what you gave them afterwards.

Your data is sent securely (encrypted) to the AI service
The AI processes it and sends back the results
Your files are deleted after processing — usually within minutes
The AI service does not use your data to train its models (we use a commercial API with zero-retention)

What you should NOT upload

We can’t un-see what you send us. Even though files are deleted after processing, it’s your responsibility to clean sensitive information before uploading. Don’t upload:

Banking details — account numbers, credit card numbers, PINs
Health records — NHI numbers, diagnoses, medical histories
Government IDs — IRD numbers, passport numbers, driver licence numbers
Login credentials — passwords, API keys, security tokens
Personal contact info — home addresses, phone numbers of individuals

💡 Quick rule: If you wouldn’t stick it on a noticeboard at the marae, don’t upload it.

What IS fine to upload

Business data — sales figures, survey results, financial summaries (without account numbers)
Anonymised datasets — data where names and IDs have been removed or replaced
Public documents — published reports, meeting minutes (without personal details)
Your own notes and project files

Our four commitments

AI does the heavy lifting — crunching numbers, spotting patterns, generating drafts. But you make the decisions. AI is the tool, not the boss.

We tell you exactly what the AI does. No black boxes, no hidden processing. If AI touched your data, you know about it.

Discernment

AI output is a starting point, not gospel. Always review the results. The AI is fast but it can make mistakes — your judgement matters.

Diligence

We're transparent about AI use in every product. We track what data goes where. And we clean up after ourselves — your files don't stick around.

Data sovereignty matters to us

RED SKY 365 was founded to serve Aotearoa communities. We know that data sovereignty — who owns and controls community data — is a big deal. Especially for iwi, hapū, and Māori organisations.

Here’s what we commit to:

Your data is yours. Full stop.
We don’t sell, share, or trade your data with anyone
Files are processed and deleted — we don’t build profiles or datasets from your content
If you want your data removed, we remove it. No arguments.
